We are seeking a Senior Payroll Associate to join our Human Resources team at the Overland Park, Kansas headquarters. The Senior Associate provides support for team functions in the areas of multi-state payroll and payroll tax, HRIS and records management and reporting. This position will also assist in a wide variety of assigned projects aimed at maintaining adherence to compliance standards and providing a high level of client service. 
 

Responsibilities

  • Maintain and process strict deadline-based payroll data and reporting, including off-cycle adjustments or supplemental needs for a rapidly growing multi-state population of roughly 750 associates
    • Provide accurate tracking and entry of all payroll-related information including receiving, translating and relaying pay, taxes, deductions, benefits, garnishments, 401k and miscellaneous processing items
    • Run detailed variance checks, reconciliations and provide necessary reporting for the oversight and authorization of payroll processing
    • Process period reporting, reconciliation and ad hoc requests for various team and interdepartmental contacts for benefit funding/billing and general ledger reporting to company financials
    • Identify, process and respond to tax registrations, inquiries, and adjustments as needed
    • Create and maintain detailed documentation of processes to build upon efficiency and accuracy
  • Receive and process new hire, termination, and ongoing personal and employment data using defined record keeping procedures, including document collection, HRIS data entry, creation and closing of personnel files, I-9s and e-Verify processing
  • Communicate with associates, team members and interdepartmentally regarding questions within the above focus areas, providing direct resolution or appropriate escalation of questions and requests
  • Collect, disperse and file mail/facsimiles as necessary; responding to basic inquiries relating to vendor billing, labor statistics collection, employment verifications, wage garnishments, unemployment inquiries and fraud resolution, and payroll/tax updates
  • Reconciliation of various payroll records to pay and policy practices, including Paid Time Off, Benefit enrollments, and HRIS system changes
  • Assist in the execution of annual compliance and payroll activities, including but not limited to preparation and dissemination of Total Compensation Statements, W-2 forms, worker’s compensation renewal and audits, payroll reporting for company audits, various associate communication and the closing and opening of calendars year checklists
  • Provide back-up support for basic benefit/401k enrollment questions which reinforce knowledge and understanding of our Total Rewards program and its execution within ADP and impacts on payroll
  • Remain knowledgeable of multi-state wage and hour compliance; contribute to the research of regulatory changes for the creation and revision of payroll policies and procedures
  • Various ad hoc tasks, projects and reporting as needed

Qualifications

  • 4+ years’ experience processing payroll and maintaining employment records
  • A bachelors’ degree in accounting, business, or related field preferred
  • Basic understanding of accounting principles and general ledger reporting preferred
  • Experience in a professional services environment providing a high level of client service to individuals at all levels of an organization
  • High accountability to accuracy, attention to detail and work quality
  • Trustworthy; uses discretion and good judgment in the handling of sensitive and confidential information
  • High proficiency with Microsoft Excel and HRIS/payroll systems
  • Possesses or has interest in obtaining a payroll-based certification
  • A self-starter, has the ability to multi-task and organize effectively - completing projects and tasks timely
  • Analytical and problem-solving skills
  • Effective oral, written and phone communication skills
  • Desire to work collaboratively within a team
